Job Summary

We are currently recruiting for a Procurement Coordinator to support us as we grow. The role will be based in our New York offices in Soho and will be part of our US Construction team reporting to our Procurement Manager.

This position will be responsible for handling day-to-day purchasing activities working closely with the construction team. They will manage vendor communications, and project tracking.

Key Responsibilities 

The Coordinator will be responsible for executional, detail-oriented, and process-driven tasks that support the work of the Procurement Manager:

• Day-to-Day Procurement
• Request quotes, prepare purchase orders, and track order statuses.
• Manage procurement documentation (contracts, invoices, receipts).
• Follow up with vendors to confirm lead times, shipping, and delivery.
• Project Coordination
• Maintain project procurement trackers aligned to construction timelines.
• Ensure equipment specs and MEP requirements are shared with vendors/contractors.
• Flag potential delays or issues early to management.
• Logistics & Administration
• Coordinate deliveries, customs clearance (if applicable), and final-mile logistics.
• Support Functions
• Maintain supplier database and contact sheets.
• Process standard supplier communications (delivery updates, missing documents, etc.).
• Assist with scheduling vendor meetings and compiling notes.

Key Qualifications

• 1–3 years of experience in procurement, purchasing, logistics, or administrative coordination.
• Experience in hospitality, retail, construction, or food & beverage industries is a plus.
• Proficiency in Microsoft Office (Excel, Word, Outlook)
• Ability to manage and track multiple projects and timelines simultaneously.
• Excellent organizational skills with strong attention to detail.
• Clear and professional communication, both written and verbal.
